BATCH (JOURNAL) PROCESSING OPTIONS
PAY CREDITORS
  
This facility allows you to pay your creditor accounts via the electronic banking. The transactions for creditors with outstanding transactions and balances will be transferred into the Pay Creditors screen, where you may select the creditors and outstanding amounts you need to pay.

Now you can see the creditors that have open or outstanding amounts. The (outstanding amount) balances are transferred to a intermediate account or clearing account on the date of the transactions. Once the payment is cleared at the bank (on the due date) payment is deducted from the bank account it will appear on the bank statement. When you allocate the transaction on the bank statement, the intermediate account or clearing (account contra account) will be debited.

To Pay Creditor Accounts:

Click on the speed button or icon. You may also press the key on your keyboard. Alternatively you may press the and and keys on your keyboard. The Batch Type screen will be displayed.
Select the Payments Jnl Batch Type and click on the button. The batch entry screen for the selected Payments Jnl Batch Type will be displayed.

Minimise button - inactive. Restore button - click to display this screen to full size and click again to restore it to its original size. Title bar - double-click to display the screen in full size or to return to the normal size. Title bar. Title bar. The Alias for the selected batch. Close button - Click to close or exit this screen. Click to delete a selected transaction. Click to insert a row or line above a selected transaction. Click to balance the batch, if the batch is not already in balance. Click to post or update the transactions to the ledger, if the batch is in balance. Click to enter transactions Inclusive or Exclusive of VAT. Click to list the entries or transactions entered into the batch. Click to access more processing options for the batch. Click to set the Options for this batch.

Select the Pay Creditors option and click on the button. The Pay Creditors screen will be displayed.

Tranactions will be generated for those transactions selected as Pay transaction. Select the intermediate general ledger account as the clearing account for the payment. Enter or select the date for the payment of creditor accounts. Select if you need to create a clieop.dat file for the transactions. Enter the payment bank account. Title bar. Minimise button - click to minimise this screen. Restore button - click to display this screen to full size and click again to restore it to its original size. Close button - click to close or exit this screen. The arrow indicates the selected transaction. The account code for the creditor. The name or description of the creditor account. The reference number of the transaction as entered in the batch entry screens. If documents were generated, the document number will be the reference number. The date of the transaction. If documents were generated, this will be the document date. This is the date on which the payment for the creditor account is due. This date is automatically calculated by TurboCASH according to the number of days specified on the due dates field of the Creditor Accounting Information screen. The description of the transaction as entered in the batch entry screens. If documents were generated, the document type and Your Reference as entered on the Document Entry Header screen will be displayed as the description. The amount of the transaction payable to the creditor (including VAT) The outstanding amount of the transaction if any previous amounts were paid to the creditor (or other debit transactions linked to the credit transaction). This will be the amount payable to the creditor. This field is by defaullt selected to pay the outstanding amount to creditors. If you do not wish to pay a specific creditor account at this stage, deselect this field. Scroll bar - drag down or up to view more information. Click to generate a Creditor Payment report. Click to generate the transactions into the selected batch. If the Create clieop file was selected, the clieop file will first be generated before the transactions are generated and imported into the selected batch (journal). Click to cancel and close or exit this screen. The details of the transactions in the batch (journal).
Select and enter the following: Check that the payment information and outstanding amounts for each creditor is correct. If you do not wish to pay a creditor at this stage, deselect (remove the tick) the Pay transaction field next to the selected creditor. If the Pay transaction field is not selected, no transactions will be generated for the creditors and the creditors will be excluded from the Creditors payment report.
Click on the button to generate a Creditor Payment report for all creditor accounts with outstanding amounts (balances) for which the pay transaction field was selected. The report will be sent to the Free Report preview screen. You may click on the button of the Free Report Preview screen and on the button to close the Preview screen.
Click on the button. All creditor accounts with outstanding amounts (balances) for which the pay transaction field was selected will be imported into the selected batch (journal):


If the Clieop file field was selected, the Save as screen will be displayed if you click on the button.



Select the directory in which you need to store the file and specify the name for the file. You will note that the default file name is Clieop followed by the date (YYMMDD - format) with a *.dat file type or format.

Click on the button to save and generate the Creditor payment report.



Once you close the report, the transactions will be generated and imported for all creditors selected as pay transaction.

Once finished, change the reference number as generated by TurboCASH with your own reference numbers (e.g. cheque number or electronic payment reference as it would appear on your bank statements.
Finally, you need to balance the batch, change the alias, list the batch and post the batch to the ledger.

The Creditor balances at date batch processing option allows you to generate all creditor accounts with outstanding balances as at the specified date. The transactions will automatically be imported into the payments batch or journal. Once the transactions are listed in the payments batch or journal, you may edit the amounts, delete any of the transactions for creditor accounts, you do not wish to pay at this stage.
