When you create a Debtors Account, you need to set the
parameters and accounting information as you have agreed upon with your Debtor
when the Debtor's credit facility is approved. You may at any time select the
specific Debtor account and change or edit the information on this screen when
you revise the credit facility of the Debtor.
To Set or Edit the Accounting Information for a Debtor:
Click on the Edit - Accounts - Debtor menu option (if the
Debtor Accounts screen is not already displayed) and select the Accounting
Information tab.
Select and or enter the applicable
options.
Click on the
button. The Debtors search facility
screen will be displayed. Select the next Debtor Account to delete or to edit,
or you may press the
key or click on the Close
button to close
or exit the Debtors search facility screen.
To Set or Edit the Accounting Information for a Debtor:

| Account Disabled |
This field should not be selected if you wish to enter
and post transactions to the debtor's Account. Select this field if you wish to disable the debtor account if you no longer do business with this debtor or customer. TurboCASH will allow you to enter transactions for the debtor, but it will not allow you to post transactions to the Debtor account. However, you will still be able to view reports for the debtor. |
| Open Item Account |
Select this field if you wish to allocate or link
receipts or credit notes (credit transactions) to a particular invoice or
debit transaction. If this field is left blank, the Balance B/F when posting method will be used where payments received or credit notes issued are allocated against the oldest outstanding amount. |
| Due days | Enter the number of days for the credit facility granted to the debtor. |
| Credit Limit | Enter the credit limit, which you have agreed and granted to your debtor. When you are processing transactions, TurboCASH will warn you if the debtor is exceeding this credit limit. |
| Charge Amount |
Enter a Charge amount, as agreed upon when you have
granted the credit facility to your debtor. You may generate Multiple Entries - Debtors with Charge Amount, in any Batch Type or journal (except the Receipts and Payments Batch Types). When you post this Batch, TurboCASH will debit (increase the Debtors account) each of the Debtors accounts with the amount specified in this field and credits a specified account (e.g. Income account). |
| Tax Reference | If debtors are exempt from tax or registered for VAT, the tax reference should be entered in this field. |
| Selling Price |
Selling Price Descriptions and Prices are only available
for Stock Items. If you do not trade in Stock Items or if you do not
generate Documents (Quotes, Invoices and Credit Notes) in the Input -
Documents menu option, do not set this field. If you generate Documents, you may specify anyone of three selling prices for this debtor. |
| Customer Discount |
If you do not create documents (invoices, credit notes,
purchase or goods received notes and stock or goods returned documents)
from your stock code file, leave this field blank. You may enter a percentage for the customer discount, which you wish to allow for a specific customer or debtor. This discount will automatically be calculated on the selected selling price of a selected stock item (if the Allow Invoice discount field is selected on the Edit - Stock Item screen when Invoices and Credit Notes are created or edited for the selected debtor or customer account. |
| Monthly Interest on Overdue Amounts |
The percentage of the monthly interest on will be charged
to the debtor on overdue accounts. (If the annual interest is 18%, you
would enter 1.5% (18 ¸ 12 months) for the monthly interest. Or if the annual
interest rate you wish to charge is 24% (18 ¸ 12 months), you would enter 2%).
You may generate Multiple Entries - Interest on overdue debtors option, in any Batch Type or journal (except the Receipts and Payments Batch Types). TurboCASH will calculate the interest for the number of overdue days for each debtor account for which you have entered an amount in this field. When you post this Batch, TurboCASH will debit (increase the Debtors account) for each of the debtor accounts with the amount specified in this field and credits a specified account (e.g. Interest Income account). |
| Bank Account Type | Select Arbbitrar or 11 Proof. This is for electronic payments to debtor accounts. |
| Bank Account no. | Enter the bank account number for the debtor. |
| Debtor Group 1/2 | The Reporting group to which you wish this debtor to be allocated. You may select any available Debtor Group 1 and 2 or any other name or description you have entered on the Reporting Group Name field on the Debtor Groups tab of the Setup - System Parameters - Groups menu option. You may select any available reporting group from the drop down list. |
| Use Default Account |
By default, the Use default account option is not selected. If not selected, you may
process transactions to any account for the debtor. If you need to process transactions only to a specific account for the debtor, you may select to use the default account. If you select this option, the Accounts Lookup or Search facility will be displayed, on which you may select the account. If the default account is selected, you may process transactions only to the selected default account for the debtor. |
